Job Description
As a Procurement and Office Manager in the event industry, your role is pivotal in ensuring the smooth operation of the company's procurement processes and the efficient functioning of the office environment.
Key Responsibilities
- Procurement Management:
- Source and procure necessary equipment, materials, and supplies for events such as audio-visual equipment, decorations, catering supplies, etc.
- Negotiate contracts and agreements with suppliers to ensure favorable terms and pricing.
- Maintain relationships with vendors and suppliers, evaluating their performance and addressing any issues that arise.
- Monitor inventory levels and reorder supplies as needed to prevent shortages.
- Develop and implement procurement policies and procedures to streamline the purchasing process.
- Budget Management:
- Work closely with the finance department to develop and manage budgets for procurement activities.
- Track expenses related to procurement and identify opportunities for cost savings.
- Provide regular reports on budget utilization and variance analysis.
- Office Management:
- Oversee the day-to-day operations of the office, including facilities management, maintenance, and security.
- Manage office supplies and equipment, ensuring adequate stock levels and proper functioning.
- Coordinate office logistics such as workspace allocation, seating arrangements, and office layout.
- Implement and enforce office policies and procedures to ensure a safe and productive work environment.

- Event Coordination Support:

- Manage RSVP lists, attendee registration, and other administrative tasks related to event planning.
- Coordinate with internal teams and external stakeholders to ensure smooth execution of events.
- Record-keeping and Documentation:
- Maintain accurate records of procurement activities, including purchase orders, invoices, and contracts.
- Ensure compliance with relevant regulations and internal policies regarding procurement and vendor management.
- Keep comprehensive records of office expenses, budgets, and financial transactions.
- Problem-solving and Decision-making:
